Human Resources Officer and Executive Assistant for SG
Caritas Jerusalem (CJ), a humanitarian and development organization representing the socio-pastoral services of the Catholic Church in the Holy Land, is currently seeking highly qualified candidates for the position of Human Resources Officer and Executive Assistant for SG.
Contract Period: 12 months with the possibility of extension(s)

Position Purpose:
This combined position demands an adaptable professional to handle the varied responsibilities of both a Human Resources Officer and an Executive Assistant. The role entails adopting a positive work environment, ensuring adherence to HR standards, and delivering necessary support to the Secretary-General and the organizational leadership.
Duties and Responsibilities:
(Human Resources Officer)
- Act as the primary point of contact for staff, handling HR-related inquiries and fostering effective communication.
- Maintain precise and up-to-date HR records for all staff members, ensuring strict compliance with organizational policies.
- Identify and communicate learning opportunities for staff members to enhance their professional development.
- Proactively address and propose solutions to issues within teams, collaborating closely with line managers.
- Offer on-the-job guidance to elevate staff competencies and actively contribute to team development initiatives.
- Take charge of the recruitment process, participating in interviews and overseeing accurate and timely job descriptions.
- Introduce and oversee the performance management system, ensuring that performance data is consistently up to date.
Duties and Responsibilities:
(Executive Assistant for the SG)
- Represents the Secretary General by welcoming visitors, reviewing correspondence; arranging dinners and other organizational functions; and answering questions and meeting requests directed to the Secretary General.
- Maintains the Secretary General’s agenda and assists in planning appointments, board meetings, conferences, events, and donor relations. Produces meeting agendas, and attends, and keeps meeting minutes.
- Helps key senior management make consistent decisions by advising them of historical precedents, serving as liaison between them and the Secretary-General.
- Arrange Caritas Jerusalem travel and meetings by developing itineraries and agendas, scheduling the travel arrangements; booking other transportation; and arranging lodging and meeting accommodations.
- Completes specific assignments; by determining priorities; managing time; gaining the cooperation of others; monitoring progress; problem-solving; and making adjustments to plans.
- Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; and participating in professional organizations.
- Conducts research and prepares presentations or reports as assigned. Improves quality results by studying, evaluating, and re-designing processes, and implementing changes.
- Handles confidential documents ensuring they remain secure and manages database.
- Enhances Secretary General’s and Caritas Jerusalem’s reputation by accepting ownership for accomplishing new and different requests; and exploring opportunities to add value to job accomplishments.
Job Requirements:
- Bachelor’s degree in business administration, Media, Journalism, or any other related field.
- At least 3-5 years of work experience in the field
Knowledge, skills, and abilities required:
- Experienced in travel logistics, scheduling, informing others, presentation skills, self-confidence, meeting management, client relationships, written communication, promoting Process Improvement, decision-making, and administrative writing skills.
- Proficient in MS Office and “back-office” software (e.g. ERP).
- Arabic & English Fluency. Hebrew is an asset.
- Ability to take direction, learn quickly, and take the initiative.
- Team-oriented with excellent interpersonal skills with Integrity and confidentiality.
- Creative, detail-oriented, highly organized, and with excellent time management skills.
- The ability to work well under pressure and meet strict deadlines.
- Willingness to make a long-term commitment to the position.
